Facilities Coordinator

The Facilities Coordinator will work closely with the Director of Office Services. The primary responsibilities of the role include:
•Assist in the design and manage budgets for office renovation projects to support fiscal decision making and ensure that costs are within budget.
•Establish and monitor project budgets, schedules, specifications, purchasing, installation and other coordination with contractors, vendors and consultants.
•Coordinate project activities with the department managers and all parties involved in the planning, design, construction and office move process such as architects, engineers, contractors, landlords, IT specialists, and other consultants.

•Monitor and report on all phases of planning and construction;
•Anticipate and advise of developments that may affect costs, schedules, and client relations, taking direction as required in order to meet the project schedule and financial goals.
•Follow up on outstanding issues and ensure corrective steps are being taken.
•Maintain documentation files.
Successful candidate will have knowledge of:
•Facilities planning and construction management processes and procedures.
•Budgeting and scheduling practices.
•Costs of construction, escalation factors and market trends.
•Building codes and standards of practice.
•Laws governing construction contracts and contracting.
•Construction materials and methods.
•Skill in reading and interpreting plans and specifications and to compare them with construction progress.
Qualifications:
•Bachelor's degree in architecture, construction management or related field preferred.
•5 years experience in facilities management or related experience and 3 years of supervisory experience.
•Proficiency with standard office software applications: MS Office (Word, Excel, Access, Powerpoint); AutoCad or similar rendering software; and MS Project or similar project management software.
•Background in or familiarity with methods and materials for space renovation and/or construction.
•Ability to work collaboratively and collegially with managers and employees.
•Effective communication skills, both verbally and in writing, with various levels of the organization. Must be able to modify his/her communication style in order to influence, persuade, negotiate, and engage all parties according to the audience and circumstance.
•Comfortable working in a fast paced environment with less definition, policy, and bureaucracy.
